Contract Administrator *Construction experience required
Stuart Olson Dominion has an opening in the Vancouver Branch for a qualified contract administrator. Reporting to the Construction Manager, the successful candidate will:
- assume responsibility for the documentation, change management and communications on assigned projects
- work closely with the project manager, estimator, superintendent and other members of the project team such that the project priorities with respect to schedule, performance and costs are achieved
- liaison with the client, design consultants, trade contractors and suppliers on a regular basis to ensure timely availability of technical information for tender documents and continued construction progress
This may be an office or site-based position.
More specifically, the candidate’s responsibilities will include:
- Complete project administration for preconstruction, construction and post-construction services, including: documentation preparation, tracking, and distribution
- Preparation of all contract documents in accordance with company standard
- Project/contract administration including but not limited to:
- Project setup
- Documentation of all project meetings (minutes of meetings - MOM)
- Preparation of bid documents including specifications
- Sub-trade tendering
- Bid clarification meetings
- Bid summaries and recommendations
- Preparation, processing and execution of prime contract and subcontract documents in accordance with company and client requirements and standards
- Quality control documentation
- All project communications
- Purchase order administration
- SAP data input for change management and subcontract management
- Change management: change orders, requests for information, site instructions, etc.
- Maintain logs on correspondence, change requests, requests from subcontractors, back charges, contract amendments and notices
- Submittals: expediting review and approval of shop drawings, product sheets, operation manuals, and other related documents
- Document management and control including conformance to company standards
- Filing and archiving of project documents (electronic and paper)
- Project closeout and archiving activities, logs, and transmittals
- Work closely with the project manager and site superintendent to ensure risks related to project documents are minimized
- Be ultimately responsible for all project and contract administration required to successfully execute and deliver the project(s)
- Develop and maintain positive relationships with clients, consultants, trade contractors, suppliers and employees
- Maintain the highest standards of professional ethics and integrity when representing Stuart Olson
- Effective execution of company policies and procedures relating to contract management
- Timeliness, accuracy and adequacy of negotiation and administration activities
- Track and ensure subcontract requirements and agreements are fulfilled during the course of the project(s)
- Effective supervision of change management activities to assure adequate protection of the company and agreed contract(s)
- Timeliness, accuracy and adequacy of problem identification, status reporting and corrective action
- Works effectively with project personnel to plan and support subcontracts execution for the project(s)
- Assist in maintaining subcontractor performance records and pertinent data on each subcontractor
- Supervision, development and training or project assistants in project and contract administration
- Training of project managers, EIT’s, and superintendents in project and contract administration

The Candidate
The successful candidate will have completed post secondary education in construction management, project management, or pursued self-directed continuing education in a similar field (eg. BA, BSc, CET, Engineering (EIT), DEC, PMAC, CCCM) alongside at least 5 years of experience in a similar role in the construction, engineering, or EPC industry. Alternatively, the candidate will have extensive experience in contract administration in a similar role, in the construction, engineering, or EPC industry.
This position requires a mature, experienced individual. He/she has a demonstrable record of successfully performing in a contract administration role previously on projects $50-$200million in value.
The individual will be a self-starter and possess a strong work ethic with a self-imposed desire to exceed everyday expectations. This accomplished individual will have a high degree of personal integrity and will serve as a mentor to co-workers.
Compensation
Base Salary: To be negotiated
Short Term Incentive: Annual bonus dependent on company profit and individual performance
