Summary
NOT E: There are two opportunities, both are 2 year terms.

The Data Integrity & Regulatory Compliance Coordinator position is in our Regulatory Department and reports to the Manager, Data Integrity. The position is responsible for the quality control of the stakeholder consultation records and the integrity of the data in the consultation database. This includes monitoring and overseeing the collection, retention, access to, and validation of consultation records (hard copy and database) for regulatory projects and overseeing and coordination of all mail outs to stakeholders. The Data Integrity & Regulatory Compliance Coordinator must be precise, logical, analytical, keen to take on responsibility, able to work/lead within a team environment and be capable of ensuring that personal and team work product is of the highest caliber as this work will be relied upon in regulatory proceedings. This position will coordinate work for multiple projects, leading a team of Data Entry Clerks.
Responsibilities
·  Responsible to ensure Manager of Data Integrity is fully informed of all activity and work requests within the team, identifying potential issues, proposing solutions and obtaining appropriate sign off as necessary.

·  Coordination of work requests for Data Integrity, including monitoring, documenting and reporting on status and delivery or completion of work within the team.

·  Required to monitor processes and procedures to ensure compliance, while meeting or exceeding delivery dates or cycle times. Maintaining or updating processes and standard documentation as required.

·  Accountable for Consultation Database entries, quality control of data entered in database, data verification, and preparation of data and records in preparation for Facility Applications. Identifying issues or areas needing improvement and suggesting solutions, followed up by implementation once approved.

·  Responsible for coordinating and supervising mass mail outs, ensuring mailing lists are current, monitor returned mail volumes and produce reports as required

·  Responsible to ensure reports produced by Data Integrity are accurate and produced on schedule or as required if ad-hoc report request.

·  Documentation, coaching and delivery of training of new and existing Data Entry Clerks or cross-department training to ensure team is fully proficient in all areas of database updates and maintenance.

·  Maintain confidentiality and a high level of attention to detail.

·  Apply relevant policies and procedures to assigned work.

·  Establish and maintain cooperative working relationships while meeting multiple demands from several people.

·  Collaborate with various internal and external stakeholders as required.
Qualific ations
·  Post secondary degree/diploma in records management or equivalent experience.

·  Minimum 2 years experience in a supervisory role; proven ability to mentor, motivate, encourage and lead a large team.

·  Adept at team workload planning, delegation of work, successfully managing multiple conflicting priorities and fluctuating deadlines in a high pressure environment.

·  Experience in developing and delivering effective training programs for internal and external audiences.

·  Highly skilled at monitoring teams work quality, work product and providing training and coaching as appropriate, geared towards individual team members needs.

·  Demonstrates a commitment to continuous improvement and innovation with experience developing and implementing process improvement.

·  Familiarity with provincial and federal privacy legislation; solid understanding of regulatory processes and legal proceedings and terminology.

·  Strong aptitude for working in a variety of databases; proficient in Microsoft Office Tools.

·  Must be extremely detail oriented, precise and able to maintain organization of large volumes of documents, both paper and electronic document storage.

·  Strong interpersonal and communication (written, oral and listening) skills. Demonstrated ability to build strong working relationships within teams and across multiple departments in a professional collaborative manner.

·  Proven track record of good attendance and performance.
