Administrative Assistant
We are currently accepting applications for the position of an Administrative Assistant in Downtown Calgary. The Office Manager will support the administration and organization of the office in an efficient, effective and service oriented manner. The successful candidate will be confident, organized, self-motivated and professional. This is a permanent, full time position.
Responsibilities:
- Oversee all aspects of general office coordination.
- Develop creative solution that meets the varying needs of clients.
- Compile necessary documents pertaining to sales and contracts.
- Maintain hard copy and electronic filing system also responsible for data entry.
- Create and modify documents using Microsoft Office.
- Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
- Setup and coordinate meetings and conferences.
- Support staff in assigned project based work.
- Maintain office calendar to coordinate work flow and meetings.
- Maintain confidentiality in all aspects of client, staff and agency information.
- Interact with clients, vendors and visitors.
- Answer telephones and transfer to appropriate staff member.
- File and retrieve organizational documents, records and reports.
- Coordinate and maintain records for staff, office space, telephones, parking, company debit card and office keys.
- Create and modify documents such as invoices, reports, memos, letters and financial statements using word processing, spreadsheet, database and/or other presentation software.
- Collect and maintain inventory of office equipment and supplies.
Requirements:
The ideal candidate will have 2 year or more experience in Transportation, Human Resource, Marketing and also Customer Service. Professionalism, efficiency and accuracy will be essential. Organized and Customer Relationship Management skills are definite plus. Fluent in English and have Intermediate knowledge of MS Office are important as well.
