Administrative Assistant - Intake
Under the supervision of a Primary Care Manager, the Administrative Assistant - Intake provides clinical program support services and designated clerical duties for the Edmonton Southside Primary Care Network Mental Health Program.
DETAILED RESPONSIBILITIES
- Receives all referrals for the Mental Health Program via FAX and on Intake Line. Complete required paperwork if incomplete.
- Manage the MH Intake Line. Provide direction to inquiries made to Intake Line. Manage all inquiries on a case by case basis, utilizing clinical team members as required. A Mental Health Coordinator will rotate to ensure a clinical resource is available on-site.
- Manage all bookings of new appointments (new and re-referred patients). Directly communicate with patients or triage urgency and set-up an appointment with a Mental Health Coordinator. Complete paperwork as required.
- Collection of pertinent clinical information to assist with referral to the Mental Health Coordinator (Netcare search, contact Clinical Records of hospitals as appropriate, retrieval of old files from PCN).
- Creates files for all new referrals
- Books all space required for MHC to see patient, both at clinics and at PCN.
- Coordinates and builds a relationship with PCN Member Clinics Administrative Staff.
- Establishes and updates brochures/resources for Mental Health Team
- Supports the maintenance of patient registries and all data collection related to new referrals.
- Performs other related duties as required
- Maintains confidentiality on all matters pertaining to patient information
- Type all supporting documentation to doctors regarding patients’ status.
- Communicate with Psychiatrists and clinics regarding various aspects of the Psychiatric Linkages program, including scheduling, invoicing, and any issues or concerns that may arise.
- Create and update Psychiatric Linkages clinic schedules.
- Enter Psychiatric Linkage information into database.
SELECTION REQUIREMENTS
Qualifications
- Gr ade twelve (12) education, post secondary administrative certificate preferred.
- One (1) year related clerical experience or equivalent. Preference given to those with direct patient related contact in a mental health/healthcare environment.
- Computer skills required, Windows XP experience preferred
- Good knowledge of medical terminology an asset
- Proficient in office practices and procedures
